Account information: when you create an account, we collect your email address, full name, and company name.

Profile and preferences: we store your industry selection and in-app settings so your experience is personalized across sessions.

Procurement data: jobs, vendors, RFQs, and uploaded quote documents created or uploaded while using ai-rfq.

Usage data: server logs such as IP address, browser type, visited pages, and timestamps, used for security monitoring and product improvement.

2. How We Use Your Information

We use your data to provide, maintain, and improve ai-rfq, including AI-assisted RFQ emails, quote extraction, and vendor recommendations.

We do not sell personal information, and we do not use procurement documents or business data for advertising.

3. Data Storage and Infrastructure

Application data is stored in the configured PostgreSQL database and quote files are stored through the configured object-storage provider.

Server-side authorization checks scope protected data access to the active account and workspace.

Production deployments use HTTPS termination and regional application services.

4. AI and Document Processing

ai-rfq uses the configured Volcengine Ark / Doubao OpenAI-compatible API for AI features including RFQ email generation, quote extraction, and vendor recommendations.

When AI features run, relevant job details or quote documents are sent to the configured provider's API for processing under that provider's data handling policies.

5. Cookies

We use strictly necessary cookies for authenticated sessions and preference cookies for industry and locale selection.

We do not use advertising cookies or third-party tracking pixels.

6. Data Retention

We retain account and procurement data while the account is active. If an account is deleted, associated personal information and data are deleted within 30 days unless retention is legally required.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Export your data in a portable format
• Object to certain processing activities

8. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by email or by a notice within the app. Continued use of ai-rfq after changes constitutes acceptance of the revised policy.
